Roles and skills
You roster in roles. Each shift needs one role, and each person holds one or more roles. Skills are what a role needs.
Set them up
- Open Skills and add each skill, with a Name and a Color.
- Open Roles and add each role, with a Name and a Color. In the role’s Skills grid, add the skills it needs.
- Open People, then a person. Add their roles in the Roles grid and their skills in the Skills grid.
Give each shift template a Role. The shifts it generates take that role.
On the board
- On the Timeline layout, each person’s row shows their roles in each role’s colour. If a person holds a role but lacks one of its skills, the row names the missing skills.
- To colour shifts by role, set Color by to Role in Scheduler settings.
- To change a shift’s role, open the shift and choose another Role.
Moving a shift by hand
The calendar’s Skill rule sets what happens when you drop a shift on a person who does not hold its role:
| Setting | What happens |
|---|---|
| Block | The shift goes back, and the board says why. This is the default. |
| Warn | The move stays, with a warning. |
| Off | No check. |
Set it in Scheduler calendars, in your calendar’s Rules section.
Choose who works a shift
Right-click a shift and select Assign staff…. Best options lists the people who fit. The others show why they do not: a missing skill, time off, another shift at the same time, or hours over their limit. Select Show everyone to see all people, or search by name.
In Auto Schedule
Auto Schedule gives a shift only to a person who holds its role. When no one fits, the shift stays open.
