Requires Chrona Workforce Scheduler

Your first roster

From a new install to a roster that Auto Schedule has filled, in seven steps. Start after you install Chrona Workforce Scheduler, with the Chrona Workforce Admin role.

1. Add skills and roles

  1. In the Chrona Workforce Scheduler app, open Skills. Add the skills your work needs, for example First aid.
  2. Open Roles. Add each role you roster, for example Team leader. On the role, add the skills it needs in the Skills grid.

Every shift needs one role. See Roles and skills.

2. Add people

Open People and add each person you roster. Fill in Hours per week. On the person, add their roles in the Roles grid and their skills in the Skills grid.

Add leave and other time off now, or later. See Availability and leave.

If your people work under an award or agreement, add it on the Agreements page and pick it in each person’s Agreement. See Agreements.

3. Set up your site and the board

Open Sites. Select your site, or add one with New and give it a Name and a Time zone. Then set:

  • Period: Week, Fortnight or Month.
  • Period starts on: the day your first roster period starts.

Save. Every board at the site shows one whole period. See Roster periods and publishing.

Open Shifts. On the board, select the gear, Scheduler settings, and set Layout to Roster grid: one row per person and one column per day. Save the form.

4. Connect to Chrona

On the board, select Optimize, then Try a free sample run. This connects your environment to Chrona and creates the board’s calendar, named after the table: Shifts. A System Administrator, or someone with the Chrona Scheduler Admin role, does this once for each environment.

5. Add shift templates

Open Work item templates and add a template for each shift pattern: its Calendar (Shifts), Role, Days of week, Start, End and How many. See Shift templates and Generate.

6. Generate the shifts

On the board, select Generate. Chrona makes the period’s open shifts from your templates. Run it again at any time: it adds what is missing and keeps the shifts you changed.

7. Auto Schedule and apply

Select Solve. Auto Schedule fills the open shifts with people who hold the role, are available, have hours left and keep their agreement’s rest and day limits. The answer is a proposal on the board, with the Proposed changes list beside it.

Drop any change you do not want, then select Apply. Nothing is saved until you apply. Discard leaves the roster as it was. See Auto Schedule.
