Availability and leave
Availability tells the board when people cannot work, and when they would rather work.
Set it up
- Open Availability types and add the types you use, for example Annual leave or Training.
- Open Availability and add a row for each stretch of time: the Person, Start, End, Kind and Type. Add a short note in Label if it helps.
You can also add availability on the person’s form, in the Availability grid.
Kind is one of these:
| Kind | Meaning |
|---|---|
| Unavailable | The person cannot work: leave, training, an appointment. |
| Preferred | Times the person would like to work. |
| Unpreferred | Times the person would rather not work. |
On the board
Each stretch shows on the person’s row. The legend names the kinds: Unavailable, Preferred hours and Unpreferred hours. Point at one to see its type or label.
Moving a shift by hand
The calendar’s Availability policy sets what happens when you drop a shift on someone during their unavailable time:
| Setting | What happens |
|---|---|
| Block | The shift goes back, and the board says why. This is the default. |
| Warn | The move stays, with a warning. |
| Off | No check. |
Set it in Scheduler calendars, in your calendar’s Rules section.
In Auto Schedule
Auto Schedule gives no one a shift during their Unavailable time. It gives people shifts in their Preferred times, and keeps them out of their Unpreferred times, where it can. The scorecard’s Preferences met counts how many it kept.
